Overview

The contracts with the customers should be renewed periodically due to changes in economic conditions and new regulations imposed by the government. The terms agreed – like credit limits, interest rates, transportation fees and payments terms – are stored in the ERP as to apply to all relevant transactions. Utilizing Nodify Flows and its DocuSign connector, the updates to contracts are managed by the legal department and the signed contracts are stored in Nodify EDMS module.

Key Outcomes

  • The contracts were generated by templates created by the legal department. This was a manual task before.
  • The customers got their personalized contracts where the data on the contracts were filled automatically using Nodify ERP Connector.
  • The legal department configured the terms those should/could be negotiated with the customer. The customers could then comment and negotiate on the terms.
  • The signing process was handled by DocuSign and integrated into Nodify with the connectors

Challenges

  • Over dependence on manual tasks such as preparing contracts for each customer and sending them using email.
  • The signed documents were collected by mail or by customer visit due to legal obligations.
  • Digital signature and electronic signature were new to the customers and the users in the organization.

Solution

  • The process was designed and configured by Nodify Flow Designer.
  • Data entry parts were configured with Nodify Form Designer.
  • Nodify Template Processor allowed the legal department to be able to use their own templates with minimum effort.
  • Using Nodify ERP Connector, the data on each contract were automatically generated.
  • The signing process was designed to be used as a negotiation medium where the customers commented and requested changes. These comments were evaluated, and the contracts were updated by the legal department. Nodify DocuSign Connector enabled the signing process to be a controlled negotiation as those features were not present in signing platform.
  • The signed contracts were stored in Nodify EDMS module and were accessible to all users having the appropriate permission.
