How South African Production Company Automated All Purchasing Processes
Overview
Companies producing goods must always manage their procurement processes tightly. This South African company was no exception. Starting from their RFQ process, the flows were critical to their production success. Each line manager had the authority to approve on certain products and final PR was sent to the directors for approval if the total exceeded predefined limits. Nodify Flows with its ERP Connector and Response Connector were utilized to their full extents to deliver a solution in stages where RFQ (Request for Quote), PR (Purchase Request) and PI (Purchase Invoice) processes were implemented.
Key Outcomes
- Each process relied on each other RFQ > PR > PI with full synchronization with the ERP.
- If there were products assigned to different line managers, the PRs were split into sub-PR records and sent for line manager approval. On approval of all line managers, the PRs were sent to the directors if the total amount exceeds predefined limits. The PRs were created automatically on ERP and
- Users were able to review up to three documents at once during PI process using Nodify Flows.
- All the document generated with signatures were saved in Nodify EDMS which enabled ERP users to access to the corresponding documents.
Challenges
- All of the processes were handled with manual tasks where the documents were prepared with manual input. Email was the main communication medium.
- The flows had to be reconfigured due to incomplete understanding of the capabilities of the platform.
- The staff was not ready for operating all the processes with automated tasks.
Solution
- The process was designed and configured by Nodify Flow Designer.
- Data entry parts were configured with Nodify Form Designer.
- Using Nodify ERP Connector, the data on the ERP was used while generating the records.
- Nodify Response Connector was used to process email responses of the line managers, directors, and the suppliers.
- The scripting option was heavy used as the processes required splitting and merging at many stages.
