The 'Automatic' Tool is Keeping Track of Active Clients for South Africa's Leading ICT Distribution Company
Overview
One of the critical issues of ICT distribution companies face is keeping the correct active customer list. Unlike many markets, the customers of an ICT distribution company change quite rapidly. The company set an interval from the last purchase date of the customers and if the criteria is met, the customer receives an email for confirmation of being marked inactive. If the customer wants to continue with their trade, they provide the documents requested in the email. The requested documents vary depending on the customer. The process is handled by Nodify Response Connector and Nodify ERP Connector.
Key Outcomes
- The contracts were generated by templates created by the legal department. This was a manual task before.
- A dedicated email account was used to monitor all incoming responses and the corresponding responses were stored under each customer. The responses were stored in Nodify EDMS and linked to the customer which were accessible by all ERP users.
Challenges
- Over dependence on manual tasks such as getting the list of the dormant accounts and contacting them for verification. The account managers had to email or call the customer and ask for documents.
- The account managers were not comfortable with the process initially as all the process was handled automatically without any user intervention.
Solution
- The process was designed and configured by Nodify Flow Designer.
- Nodify Response Connector allowed the responses to be handled correctly.
- Using Nodify ERP Connector and Nodify Scheduler, the customer purchase data was monitored for dormancy. A new flow process was automatically created when a dormant account was identified.
- The documents were stored in Nodify EDMS module and were accessible to all users having the appropriate permission.
